The Mail Clerk is responsible for organizing and distributing mail among departments within a corporation. His/Her primary responsibilities include sorting mail by department and category, forwarding misdirected mail and keeping an inventory of mailing supplies.
Key Responsibilities
- Folds letters, circulars, or other documents and insert into envelopes for distribution
- Utilizes sorting machines and similar administrative technology
- Sorts and collates incoming and outgoing mail
- Sorts mail by department, location or category (e.g. bills, notices, personal)
- Signs off on certified mail
- Sorts mail received, and organizes it according to department and deliver it to proper location at a later time
- Dates stamp all incoming mail
- Sorts interoffice mail and messages and maintaining mailroom supply inventories
- Uses a computer or automated system to sort mail and track its delivery
- Uses fax and scanning machines
- Corrects and forwards misdirected mail
Job Requirements/Qualifications
- High school diploma or general education degree (GED) required
- Proven experience as a Mail Clerk or Office Clerk
- Experience with mail sorting and postage meter machines is a plus
- Has knowledge in Microsoft Office
- Well-organized, with sharp attention to detail
- Knowledge in operating fax and scanning machines
Skills needed for this role
The Mail Clerk should be focused and independent, able to interact with customers as well as other Mail Clerks and Mail Carriers. He/She should be patient and willing to complete tasks that might become tedious. He/ She can work well in high-pressure environments and must have computer skills. Good written, verbal and interpersonal communication and the ability to meet deadlines is essential for this role.
