Accounts Payable Clerk

Accounts payable clerks are responsible for performing a range of accounting and clerical tasks related to the accounts payable function. This generally includes receiving, processing, and verifying invoices, tracking and recording purchase orders, and processing payments. Key Responsibilities

  • Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices
  • Processes check requests and expense reports on a regular basis
  • Pays vendors by monitoring discount opportunities, verifying federal id numbers, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation
  • Performs data entry associated with accounts payable
  • Issues stop-payments or purchase order amendments
  • Audits and processes credit card bills
  • Pays employees by receiving and verifying expense reports and requests for advances; preparing checks
  • Verifies the authenticity of all payment instructions
  • Produces reports, such as income statements and balance sheets and checking these for accuracy
  • Maintains historical records by microfilming and filing documents
  • Ensures new and amends contracts are accurate, comply with financial control requirements and can be paid to agreed timescales
  • Protects the organization’s value by keeping information confidential

Job Requirements/Qualifications

  • High school diploma. associate’s degree in Accounting preferred
  • 2-3 years experience with accounts payable or general accounting
  • Proficient Microsoft Office knowledge and skills
  • Strong time management and organizational skills
  • Knowledge of basic accounting principles
