Executive Assistant

Executive Assistants are similar to administrative assistants or secretaries in that they all support executive tasks by handling or supervising office duties. The difference is that an executive assistant is specifically a senior office staff member assigned to a top executive. This involves supervising and training other office staff, as well as tackling tasks that could have a dramatic effect on the success of a company.

Key Responsibilities

  • Schedules appointments, and maintain and update supervisors’ daily calendar
  • Serves as an administrative liaison to government agencies and other mandated organizations
  • Plans and schedules meetings, conferences, and travel
  • Makes travel arrangements including flight and hotel bookings
  • Maintains confidentiality of highly sensitive information
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
  • Acts as the first point of contact for internal and external queries/requests to the Executive Director
  • Manages complex office administrative work requiring the use of independent judgment and initiative
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping

Job Requirements/Qualifications

  • Bachelor’s degree in International Studies or Business Administration
  • 2-3 years’ experience working in a similar position, providing administrative support at an executive level
  • Knowledge of online tools and software such as Google Workplace, Outlook and Zoom
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and social media web platforms

Skills needed for this role

Executive assistants must have excellent interpersonal communication, strong writing skills, and be highly organized. He/She must be a team player who is proactive, flexible, results-oriented and comfortable in a rapidly changing environment and has the ability to work independently and under the pressure of deadlines.
