The Senior Administrative Assistant helps senior managers and high-level executives to maximize their efficiency by providing them with clerical and secretarial support. He/She keeps these managers and executives organized by taking care of their travel arrangements, scheduling their meetings and other tasks.
Key Responsibilities
- Plans and organizes work activities
- Produces and distributes correspondence memos, letters, faxes and forms
- Assists in the preparation of regularly scheduled reports
- Receives and screens communications to the assigned management staff member including office visitors
- Recommends improvements in work flow, procedures, and use of equipment and forms
- Manages executives’ schedules and booking meetings
- Implements improvements as approved
- Drafts agendas, booking venues, and sourcing refreshments ahead of each event
- Develops and revises office forms and report formats as required
- Organizes and maintains filing systems
Job Requirements/Qualifications
- An Associate’s degree in business administration, office management or a field related to the industry
- Proven work experience as a Senior Administrative Assistant
- Knowledge of office management systems and procedures
- Attention to detail and problem solving skills
- Knowledgeable in Microsoft Office
Skills needed for this role
The Senior Administrative Assistant must have an organized mind who is technologically savvy. He/She must have good interpersonal communication skills in order to establish trust with the executive or senior manager they work for. Having excellent written and verbal communication skills as well as strong organisational and planning skills are essential for this role.
